Clinical Registry Office

The Clinical Registry Office [www.kikregistratiebureau.org] is a support organization for clinical registries within the Medical Informatics department of the AMC. The general objective of the Clinical Registry Office is to stimulate knowledge exchange of registry practice research and thereby improving the quality of registration processes of the NICE registry, the BHN registry and the ERA-EDTA registry.

 The Clinical Registry Office at the department of Medical Informatics tries to attain:

§         Transparency: increased exchange of knowledge between registries

§         Quality improvement of processes and products of the registries

§         Capacity building for high quality registries practice

§          Multiple use of developed tools and skills/reduced cycle times

§          Continuity: less vulnerability for illness of staff members and changes in staff

 

Certification to the NEN-EN-ISO 9001 quality assurance model of the implemented quality management system (KMS) for managing, organizing and supporting medical registries was obtained for the first time in Augustus 2004 for a period of three years, for the second time in December 2007 for another three years and for the third time on 1 September 2010 for another three years from 2010 till June 2013. Each year the department of Medical Informatics is externally audited by the independent quality certification agency Lloyds to verify that all the ISO requirements were being met within the KMS medical registries.

This yearly External Audit day focused on auditing the aspects of the work processes of the medical registries, from data input in registry databases to measuring, data security, achieving client satisfaction and the measuring of the process indicators. Clinical Registry Office meetings were regularly held, with the purpose to evaluate the effectiveness of the KMS, and to discuss new efforts to improve our processes. In these meetings the head of the KIK department, the three registry managers, the coordinator of the registry office, the coordinator of software engineers and the quality manager participated. In the period of January 2011 till February 2011 the yearly internal audit was held. The theme of the Internal audit was SOPs, Quality Indicators and Documentation Software. At the end of 2010 the procedures (SOPs) were checked and where necessary updated and in March 2011 the update of the quality manual has taken place. The certification of the KMS medical registries shows our commitment to quality improvement and inspires us to improve the performance of our processes, to take them to a higher level of quality.
